Meeting on 4th November After MPFSC

The meeting will take place after the MPFSC Event at around 2.oopm. It is compulsory.
The agenda of the meeting is as listed below and those in charge of certain portions of the trip should come PREPARED WITH SPECIFICS/ANSWERS details-wise. Not just rough estimations nor information on where to get the answers. Please come prepared with the answers to the questions with regards to planning as well. The agenda is not an exhaustive list so please feel free to fill in with information the parts where I have neglected. The agenda is very sketchy as it is so at least get the answers to the questions on the agenda.

For those of us who are not in charge of planning please lend assistance to those who are. And at least prepare answers for the general questions.

Agenda for meeting:

Laos Trip:

Ø Outcomes of trip

o For C.I.P? What do we want to achieve?
o For Adventurous Journey?
o On a lighter note, for shopping?

Ø C.I.P:

o What’s going to be done?
o How about the donations (items), money? How’re we getting it(from whom, when)?
o Who’s the Donor group/recipient?
o Who are we liaising with to give whatever we have? Is there an NGO in mind whom we’re working through? How are we going to pass our donations to the locals, through whom?

The CIP is going to affect the Lives of the local community there. Us screwing up means more than just doing a bad event on our School Leaving Cert. So let's do it well. Do it good.

Ø Adventurous journey:

o Time of start? Time of end? Time line perhaps for the entire journey and per day?
o Distance to cover per day?
o Name of specific stops (rest places for the night) along the way (How is it going to be
booked?) ?
o Arrangements for riding (any backup vehicles)?
o Places to note during the route?

CALCULATE COSTS.

Ø Flow of Activity:

o I think the itinerary is more or less confirmed so that’s one part covered.
o Bookings for lodgings confirmed?
o Train tickets? If cannot book then what are the means/guarantees of getting them at the
needed date?

Service:

Ø 12th November event (Hari Raya/Deepavali)

o Delegation of duties
o Rough flow of events

Ø Regular visitations

o Come up with regular visitation days and the duration for each visitation. To be submitted on 4th Nov to Seow Hong.

Service Section

IC: Seth

MPFSC befriending
for each individual to be carried out as soon as 1 day per week has been decided upon within the trio/pair. Inform Seth of the day when it has been confirmed, frequency is not limited to once per week or so. So far, most have decided on Thurs and Tues afternoons for their visitations.

Pairing up of Groups
For each individual under your charge, this is the current arrangement if I am not mistaken. (Edit this post if there are mistakes, Thanks)
Zhan Liang/Thomas/Edmund
Calvin/Chang yang
Jiawei/Seth
Boon Kiat/Joseph

Deepavali and Hari Raya Celebrations
We have to organize an event for the residents and members of Good Life during the months of Nov or Dec, ASAP as part of our requirements for our service section. Boon Kiat and Joseph will be Overall ICs and they will have to confirm with MPFSC (Seth) first the date which it is held, the roles assigned to us each for the preparation (eg. decoration of venue, performances etc) and also liaise with Xiao Hong for the planning details.

NOTE: MPFSC activity on 4th Nov (Sunday) from 830am to 2pm, all to be involved. Details such as attire and meeting venue to be decided later.

-Project WWL

IC: tentatively Calvin

Postponement of trip
The class has decided to go to Sapa in March 08' instead for their OCIP, thus we have to make changes to our workshop date in order to suit the change in plan. However, planning still remains a priority within the months of Oct and Nov as the JC2 year(eg. Term1 papers) will be too busy for us to undertake so many things at a go.

Planning Process
So far, all the proposals have been submitted and what needs to be done is to extract the ideas and put it into a proper plan for the execution of our workshop. We might have to carry out the workshop in the months of Nov and Dec if need be to ensure we have enough time next year, thus the planning cannot take a backseat yet if we aim to finish everything by this year.

- EOY Trip

IC: Jiawei

Route Planning
Due to time constraints, we cannot aim to finish the initial route in the itinerary planned by vermillion on a bicycle within 4D3N. Thus, the route has been changed from rounding the Bolaven Plateau to going up further north instead and rounding back to Pakse, which will take approx. 3D2N as it is much shorter. Everyone has been briefed on the new route change and have seen Thomas' new itinerary.

Overhead Costs
The costs so far have been only done up to the point where things have been confirmed (Check under:Manage posts; drafts by vermillion). Thus we would have to complete the full itinerary beforehand in order to come up with the compulsory costs for everyone to give a better estimate of our overheads.

Things Need Doing
new planning for the itinerary, our service project (i.e what are we going to do there),fund raising for our service in Laos (no matter how you look at it, we need money!). All these have to be discussed in order to move on to other more important things, such as our booking for lodgings and stuff like that. I will need everyone's cooperation on this if we want to have a smmoth trip without any difficulties.

NYAA Meeting this week has been decided either on WED, THURS or FRI.
The NYAA coordinator please confirm a date for us!!
Agenda:
1) MPFSC Confirmation of Visitations, Celebratory Event
2) Update on planning of Project WWL
3) EOY trip: assignment of roles, new itinerary, CIP section (practically have not started on this!)

Note: Guitar people, please remember to bring your AWARD DIARY (the smaller blue book) this FRI (26th Oct) during your last lesson for the assessor to sign, thanks. We will also settle the missing post of July 07 for our skills entry.
